Officers Responsibilities

EXECUTIVE BOARD EXECUTIVE COMMITTEE
President:
# Preside at all meetings of the association;
# Coordinate the work of the officers and committees of the association in order to promote the association's purposes;
# Be a member ex officio of all committees except the nominating committee;
Schedule executive and general PTA meetings as needed;
With consultation of the board, develop an initial budget for the fiscal year;
Attend meetings as requested by the principal to represent the school;
Act as a liaison to the Community Outreach, Legislative, and Membership chairpersons;
# Perform such other duties as may be prescribed by bylaws or assigned by the association.
Vice-Presidents (1st & 2nd):
# Act as aides to the president;
# In their designated order, perform the duties of the president in the absence or inability of that officer to act.
1st Vice-President:
Act as a liaison to activity/enrichment chairpersons, such as After-School Fitness, Birthday Tree, Chess Club, Cultural Arts, Directory, FLEX, GRACE Art, Math Counts, Odyssey of the Mind, Original Works, Paws to Read, Reading Buddies, Recycling, Reflections, Robotics, Room Parent Coordinator, Spirit Sales, School Supply Kits, Shop & Support, Summer Book Exchange, Volunteer Coordinator;
Lead volunteer orientation covering committee notebooks/procedures;
# Perform other delegable duties as assigned.
2nd Vice-President:
Responsible for PTA meetings/speakers;
Act as a liaison to event chairpersons, such as Basketball game, Bingo/Game Night, Fall Festival, Family Dance, Hospitality (Retirement Reception, Staff Appreciation, Teacher Breakfasts), Movie Night, Spelling Bee;
Lead volunteer orientation covering topics of interest to event chairs, such as making coffee, using the popcorn popper, and the PTA shed and closet;
Responsible for ensuring all building forms completed with office;
# Perform other delegable duties as assigned.
Corresponding/Communications Secretary:
# Prepare correspondence as necessary to conduct PTA business;
# Publish the monthly newsletter;
Serve as a liaison to the newsletter editor;
Serve as a liaison to the marquee sign committee, PTA photographer, and webmaster;
Maintain and update bulletin boards in lobby;
In charge of weekly KIT message;
Write press releases as needed;
Prepare correspondence such as thank you notes to meeting speakers, congratulatory letters for staff members with new babies, etc.;
# Perform other delegable duties as assigned.
Recording Secretary:
# Record the minutes of all meetings of the association;
# Have a current copy of the bylaws in his/her files;
# Maintain a membership list as required by the Virginia PTA;
Maintain copies of minutes, newsletter, and other PTA records;
Prepare, set out, and maintain sign-in sheets for meetings;
Keep PTA desk up to date with copies of minutes, newsletter, treasurer's reports, expense procedures/forms, and other necessary papers;
In charge of committee chair procedure notebooks - update notebooks at start of year with current documents;
Maintain copies of activity procedures, such as how to use the PTA's coffee pots and popcorn popper;
Prepare/update folders in August for all chairs in PTA file drawer;
# Perform other delegable duties as assigned.
Treasurer:
# Have custody of all funds of the association;
# Keep full and accurate account of receipts and expenditures;
# Make disbursements as authorized by the president, executive board, or association in accordance with the budget adopted by the association;
# Have checks or vouchers signed by 2 officers, preferably the treasurer and the president;
# Present a written financial statement at every meeting of the association and at other times when requested by the executive board;
# Prepare an annual financial report at the close of the fiscal year;
# Have the accounts examined according to the bylaws' auditing procedures;
# Perform other delegable duties as assigned.
Financial Secretary:
# Collect receipts for deposit from committee chairs, providing an immediate intermediate count for receipts;
# Be responsible for physically taking deposits to the bank, and recording those deposits;
# Have administrative access to the online accounting system;
Assist the treasurer (tracking the budget, responding to requests for information);
# Perform other delegable duties as assigned.
The financial secretary cannot sign checks
The executive committee shall consist of the elected officers, principal & assistant principal.
Shall meet within 30 days after election to appoint standing/special committee chairmen to the PTA Executive Board.
To develop goals for the association for presentation to the executive board & membership for approval.
PTA EXECUTIVE BOARD:
The executive board shall consist of the elected officers, principal & assistant principal and appointed standing/special committee chairs and appointed school staff members.
Transact necessary business in the intervals between meetings & other business.
Approve plans of standing committees.
Present reports at regular PTA meetings.
Select a professional auditor or auditing committee to audit the treasurer's accounts.
Prepare & submit a budget to the PTA membership.
To approve routine bills within the limits of the budget.
Some executive board members are appointed as liaisons to standing committee chairs.
